iTOA System Check-in SMS Program

Privacy Notice

Last updated: August 6, 2026

This notice describes how information collected through the Sun-Net iTOA System Check-in text message program is handled. It applies specifically to this program and takes precedence over Sun-Net’s general website privacy notice for information collected through it.

Information we collect

Your name and work mobile phone number, as recorded on your iTOA user account by your organization’s iTOA administrator; the substation or work site, purpose of visit, and expected duration that you submit by text message; and the date and time of each check-in and check-out.

Why we collect it

To confirm that personnel working at or near electrical substations are safe and accounted for, to maintain the electronic operations log for the site, and to support the operational and regulatory recordkeeping obligations of the organization that operates it.

Mobile numbers are not shared

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

Sun-Net does not sell, rent, trade, or otherwise disclose mobile phone numbers or SMS consent data to any third party. Sharing with subcontractors that provide support services for this program is permitted solely for that purpose: Twilio Inc. delivers the messages, acting only on Sun-Net’s instructions and prohibited from using the information for its own purposes. Check-in records are made available to the organization that operates the site, as the controller of its own operations log. Text messaging originator opt-in data and consent are not shared with any third party for any other purpose.

No marketing use

Mobile numbers collected through this program are never used to send marketing or promotional messages, and are never used for targeted advertising or interest-based advertising of any kind.

Message frequency

You receive messages only in response to a message you send — approximately 4–8 messages per site visit. This program sends no scheduled, recurring, bulk, or promotional messages.

Rates

Message and data rates may apply.

Retention

Check-in and check-out records are retained in the operations log according to the records retention schedule of the organization that operates the site. Mobile numbers are retained while you are enrolled and are removed when your enrollment ends or you opt out.

Security

Access to check-in records and registered mobile numbers is restricted to authorized personnel through role-based access controls in iTOA. Data is encrypted in transit.
